Be sure to submit your 2023 gym receipts by January 30th, 2024 in order to be reimbursed. You can only submit receipts for 2023 and reimbursements are limited to a maximum $240 for the year.
Fitness is BACK! Due to popular demand, Evans’ Fitness Reimbursement Program is back for a second year. The goal of this program is to promote employee health and wellness through fitness and nutrition. It is not designed to cover extracurricular activities, sports, or hobbies. Here’s how it works.
- Employee Eligibility
- All full-time or part-time employees (NTC, CDW, PDC, ERS, MFC) who have been employed for 1 year. If your employment ends before January of the next calendar year, you are not eligible for reimbursement. Reimbursements will be processed annually in January and covers the previous year’s fitness program.
- Family members and dependents are NOT ELIGIBLE for fitness reimbursement. Your name must be the owner of membership
- What will be covered?
- Gym, fitness center/studio, health club memberships and fees.
- Instructor lead fitness classes (yoga, Pilates, Zumba, cycling/spinning, martial arts)
- Memberships for weight loss and smoking cessation programs.
Important: The program covers memberships and fees, not equipment or therapy. Some services may be covered by your HSA or insurance—consider those options before applying for fitness reimbursement. This program does not cover recreational sports or related activities.
- Reimbursement
- Individual employees can be reimbursed up to $240 per year.
- For family gym memberships, an individual employee can be reimbursed 25% of the of the total cost or up to $240 per year.
- Participating employees are required to submit receipts to be eligible for reimbursement. Multiple receipts can be submitted once they meet the reimbursement threshold of $240.
- Example: Gym Membership = $100/ month. Employee submits 3 receipts to cover the maximum reimbursement of $240. Â
- Individual employees can be reimbursed up to $240 per year.
- Program Dates
- Begins on January 1, 2023.
- Receipts prior to January 1, 2023 will not be accepted.
- Receipts must be submitted by January 30th of 2024.
- Reimbursement Process
- During the month of January, following the prior reimbursement year, you will have to perform the following process.
- Complete the “Fitness Reimbursement Form” below.
- Receipts must include institution name, service date, and dollar amount.
- Submissions must provide a description on the services provided.
Upon approval, reimbursement payments will be included in the employee’s next paycheck. Please direct all questions regarding reimbursements or program eligibility questions to hr2@evansdist.com.
